How a $100M Advisory Practice Saves Around Four Hours Per Client

SaaS Wealth Insurance uses AdvisorFlow across discovery, financial overview, risk assessment, identity verification, annual reviews, and CRM workflows—saving approximately four hours of administrative work per client while creating a more consistent client experience.

AdvisorFlow was born inside SaaS Wealth Insurance. Here’s how the team uses it today.

SaaS Wealth Insurance is a Vancouver-based advisory practice with more than $100M in AUM and over 1,000 insurance policies in force. Its founder, Brandon Chapman, also founded AdvisorFlow after experiencing firsthand how much time advisors were losing to PDFs, repetitive data collection and disconnected client workflows.

Today, SaaS Wealth continues to use AdvisorFlow in its own practice. We spoke with Financial Advisor Aileen Dasalla about where the platform actually fits, and where it saves them time.

Built for a New Generation of Advisors and Clients

SaaS Wealth Insurance works primarily with technology professionals, from young professionals and families to founders, executives, and retirees. Principal Brandon Chapman focuses on founders and technology leaders, while Aileen Dasalla works primarily with young professionals, families, and retirees, collaborating with Brandon on retirement cases.

The firm's technology-first mindset extends beyond the clients it serves. SaaS stays closely connected to developments in technology and the industries its clients work in, with a focus on delivering modern, personalized advice.

“Most advisors are too busy to think about implementing new technology so they just kick the can down the road… if they spend 30 minutes in conversation, I think they’ll realize all these new areas of opportunity” -Brandon

Leaving Paperwork Behind

When the team looked back at their experiences in traditional advisory environments, one thing stood out: too much of the client experience depended on PDFs, paper, and email.

Before AdvisorFlow, much of the discovery process looked familiar: send a PDF, explain what needed to be completed, wait for it to come back, follow up on missing information, save the file, then manually transfer the information into other systems.

The administrative burden wasn't any one task, it was dozens of small tasks repeated across every new client.

“There could be some questions I wanted to ask clients during the meeting that I would miss… Especially the very small details like their birthdays, that wouldn’t be in the top of your head, right?” -Aileen

How SaaS Wealth Uses AdvisorFlow

AdvisorFlow became part of SaaS Wealth Insurance's workflow from the beginning. After using the platform during her Canada Life training, Aileen continued incorporating it into her process when she joined the firm. Rather than simply replacing PDFs, the team used AdvisorFlow to standardize how client information is collected, shared, and maintained while still adapting the experience to each client's needs.

Today, AdvisorFlow supports nearly every stage of the client journey. The team begins with introduction and financial overview forms before moving into risk assessments, insurance needs analysis, and identity verification. Advisors can start with existing templates and customize them whenever a client or workflow requires something more specific, giving the team consistency without sacrificing flexibility.

Building Consistency as the Team Grows

For SaaS Wealth Insurance, one of the bigger advantages of having this infrastructure in place is what it means for the team. Brandon and Aileen can share access to client information when collaborating on cases or joint meetings, while the firm's dashboards and workflows give advisors a consistent foundation to work from.

As the practice adds advisors, they don't have to recreate processes or learn how to manage each client relationship from scratch. The team can maintain a consistent experience across advisors while still allowing individual advisors to have their own processes where needed.

That balance, standardization without losing personalization, has become an important part of how SaaS can grow without compromising the client experience.

Roughly Four Hours Saved Per Client

Aileen estimates AdvisorFlow saves roughly four hours of administrative work for a typical new client, across the financial overview, identity verification and risk process.

The savings come from less time preparing forms, collecting missing information, re-entering client details, organizing documents and following up.

“If that's for like every client as well… there's 40 hours in a week. Because if I'm saving 4 hours … that’s half a day.” -Aileen

The time savings extend beyond administration. With less time spent preparing paperwork and tracking down missing information, Aileen can spend more time preparing for meetings, focusing on client recommendations, and having more meaningful financial conversations.

Aileen mentions the digital experience also reinforces the firm's professional image. Rather than sending PDFs back and forth, online forms help SaaS Wealth Insurance deliver the modern, technology-forward experience its clients expect.

Where AdvisorFlow Fits, and Where It Doesn’t

For SaaS Wealth Insurance, AdvisorFlow supports the client journey from initial onboarding to ongoing information collection. The team uses consistent workflows to gather information, documents, and identity verification, while still having flexibility to tailor forms as needed.

As the team grows, shared workflows make it easier to collaborate and give new advisors a proven starting point rather than building processes from scratch.

AdvisorFlow doesn’t replace the firm’s CRM, financial planning, or insurance and investment systems. Instead, it serves as the client-facing layer for onboarding and information collection, with integrations continuing to help reduce duplicate work and connect the firm’s technology stack.
