The Problem
Most advisors are piecing together their onboarding process across emails, PDFs, upload links, and manual CRM entry. Nothing talks to each other. Data gets messy, entry gets duplicated, and the advisor ends up doing the same work in multiple places.
How the Integration Works
A client fills out a form in AdvisorFlow, whether that's an introductory form before a first meeting, an insurance intake, a financial overview, or an annual review. Once that information comes in, it flows directly into Cloven. No copy-pasting, no re-entry, no cleanup.
Advisors can also trigger a sync manually for individual clients, or pull in everyone who has submitted data in the last seven days. Either way, the information only ever gets typed once.
What Each Tool Does
AdvisorFlow handles the client-facing side.
Advisors send digital forms to clients through a branded, secure portal hosted on AWS in Canada. Forms can be sent as-is, customized, or converted from an existing PDF using Form Genie. Clients receive a clean email, register or log in, and complete the form on their own time. The advisor gets notified when it's done.
Cloven handles everything that comes next.
Once client data lands in the CRM, advisors can manage contacts, households, policies, and investments in one place. Automated workflows can fire for things like TFSA top-ups, KYC renewals, or policy renewals. Built on Zoho's infrastructure, Cloven also includes email integration, SMS, task management, and an AI chatbot for querying your own client database.
What You Get
When data moves on its own, advisors spend less time on admin and more time on the work that actually matters.
Specifically:
- Client data entered once, used everywhere
- Cleaner records with full audit trails
- Faster onboarding from first form to active client
- Better compliance, with less reliance on email
- A professional client experience from day one
